We are currently seeking a Senior Billing Specialist to support our Financial Management team in a hybrid of remote and on-site work out of our Columbia, MD corporate office location. 

Essential Functions and Job Responsibilities

  • Manage the contracts billing process, including but not limited to the Firm Fixed Price, Time and Material and Cost Plus Fixed Fee, and other reimbursable billings.
  • Coordinate kickoff meetings including assigning Project Numbers, setting up the Contract Workforce Schedule for PMs and maintaining up-to-date PM Rosters and Contract Control Logs.
  • Ensure all billings are accurate, complete, and in compliance with government regulations, policies, and contractual agreements.
  • Manage and reconcile unbilled receivables.
  • Verify and reconcile billing data with government contracts and other supporting documents.
  • Manage recurring billing processes and schedules specific to government funding cycles.
  • Monitor and follow up on outstanding invoices to ensure timely payment from government agencies.
  • Handle collections activities and coordinate with government contacts to resolve billing issues.
  • Prepare aging reports and maintain accurate accounts receivable records for government accounts.
  • Address inquiries and disputes from government agencies regarding billing and payment issues.
  • Provide exceptional customer service and maintain positive relationships with government contacts.
  • Liaise with internal departments to resolve concerns promptly.
  • Ensure compliance with all relevant government regulations, standards, and reporting requirements related to billing and financial transactions.
  • Maintain thorough and organized documentation of billing activities and communications with government agencies.
  • Stay current with government regulations and industry best practices.
  • Identify and implement improvements to the billing process to increase efficiency and accuracy.
  • Generate and analyze billing and accounts receivable reports for management and government review.
  • Provide insights and recommendations based on billing data and trends.
  • Assist with financial audits and prepare necessary documentation for government compliance reviews.

Minimum Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  • Minimum of 5 years of experience in billing, accounts receivable, or a related financial role, preferably in the government contracting sector.
  • Experience with Deltek Costpoint strongly preferred.
  • Experience with Wide Area Workflow (WAWF) or other government billing systems is highly desirable.
  • Proficiency with MS Excel and MS Word.
  • Good communication skills.

  • Ability to work with all levels of management team.
  • Strong organization skills.
  • Detail oriented.
